1. What this policy covers

This policy explains what personal data SPION collects, why, and how it's handled — for event Organizers using the platform and Attendees who register for or buy tickets to events on SPION. SPION is operated by Inclusion Software Solutions.

2. Information we collect

From Organizers

• Name, email address, and/or phone number, used to sign in via one-time password (OTP).
• Organization details you choose to add (organization name, address, GST details) for invoicing.
• Event details you create (descriptions, images, ticket tiers, pricing).
• Bank account details you add for receiving payouts.

From Attendees

• Name, email, and phone number provided when registering for or buying a ticket to an event.
• Any additional information an Organizer's custom registration form asks for.
• Basic technical data (IP address, browser) used for fraud prevention and page-view analytics on public event pages.

We do not collect or store full payment card, UPI, or bank account numbers used to pay for tickets — those are handled directly by our payment gateways (Razorpay and/or Cashfree), under their own security and compliance standards.

3. How we use this information

• To create and secure your account, and verify you via OTP.
• To operate ticketing — issuing tickets and QR codes, processing check-ins, sending confirmations.
• To process payments, service fees, publishing fees, and payouts, and to generate invoices as required for GST compliance.
• To send you emails related to your account, an event you're attending, or an event you organize (confirmations, reminders, updates).
• To provide customer support.
• To detect and prevent fraud, abuse, or violations of our Terms & Conditions.

4. Who we share information with

• The Organizer of an event you register for or buy a ticket to — they need your registration details to run their event, check you in, and contact you about it.
• Payment gateways (Razorpay, Cashfree) — to process your payment.
• Email and SMS providers — to deliver OTPs, confirmations, and notifications.

We do not sell your personal data to third parties, or share it for third-party marketing.

5. Cookies and analytics

We use cookies and local storage to keep you signed in and remember your session. Public event pages record basic, de-duplicated view counts to give Organizers analytics on their event's reach — this doesn't track you across other websites.

6. Data retention

We keep account and event data for as long as your account is active. Financial records (invoices, orders, payout records) are retained for the period required under applicable tax and accounting law, even after an account is closed.

7. Your rights

You can request access to, correction of, or deletion of your personal data by contacting us at the email below. We'll respond in line with applicable data protection law, including India's Digital Personal Data Protection Act, 2023. Some information (such as issued invoices) may need to be retained even after a deletion request, where required by law.

8. Security

We use reasonable technical and organizational measures to protect your data, including token-based authentication and access controls. No system is 100% secure, and we encourage you to keep your email/phone account secure since it's how you access SPION.

9. Children's privacy

SPION is not directed at children under 18. If an event requires attendee information for someone under 18, that information should be provided by a parent or guardian on their behalf.

10. Changes to this policy

We may update this policy from time to time. Material changes will be reflected by updating the date at the top of this page.
